Information you provide

Forms collect your name, email and message. Management enquiries also collect the property address, relationship to the property, asset type, room or unit count, C1 status and operating position. Stay enquiries collect company, your role or job title, destination, dates, guests, units, selected accommodation reference, apartment and area preferences, pet requirements and any budget or facilities you include.

Please do not submit passport information, payment details or sensitive personal information. All visible stay enquiry fields are required to assess accommodation needs; details already supplied by a selected accommodation option are filled automatically. Other enquiry routes may include optional details. Submitting a form does not enter you into a contract or reserve accommodation.

Why information is used

We use your information to answer enquiries, assess management suitability, understand accommodation requirements, discuss proposals and maintain correspondence. Security identifiers support fraud prevention, rate limiting and duplicate-submission protection. Forms do not subscribe you to marketing, and no decision with legal or similarly significant effects is made solely by this website.

Lawful basis

Responding to a request may involve steps before a contract at your request, or legitimate interests in handling business correspondence and protecting the enquiry service. The applicable basis and legitimate-interest assessment are being finalised for these enquiry processes. Contact us for the current position before providing information if this affects your decision.

Storage, recipients and service providers

Enquiries are stored in server-side Sites storage using Cloudflare R2 and submitted to HubSpot CRM, including the enquiry reference and full enquiry details. Website hosting is provided through OpenAI Sites and Cloudflare. Enquiry records are not exposed on public website pages. Authorised company personnel handling enquiries may access information through the relevant service providers.

For corporate stay enquiries, Resend processes the recipient email address, enquiry and accommodation references, stay dates, number of nights, location, guest and unit counts to send a transactional acknowledgement. This email confirms receipt of an enquiry, not a reservation. Delivery is subject to the email service and recipient mail system. When arranging accommodation as an agency, relevant details may be shared with prospective independent accommodation providers to check suitability and availability; the provider and booking arrangements are identified before confirmation.

International processing

The hosting, CRM and transactional email providers may process information outside the UK. Their relevant processing locations, contractual arrangements and any applicable transfer safeguards are still being verified. We have not confirmed a particular UK-only hosting location or a specific transfer mechanism. You can request the confirmed arrangements at hospitality@kantarigan-mc.group.

Retention

The application currently stores submissions without an automatic expiry. A retention and deletion schedule is still being finalised; no fixed retention period is represented as active. Contact hospitality@kantarigan-mc.group to request deletion or ask how an existing enquiry is being retained.

Your rights

Depending on the applicable circumstances, you may request access, correction, erasure, restriction or portability of your personal information. You may also object to processing based on legitimate interests. Contact hospitality@kantarigan-mc.group to exercise a right or raise a concern; we will assess the request against the applicable requirements.

If consent is relied on for a separate activity, you may withdraw it. These enquiry forms do not create a marketing subscription. You may complain to the Information Commissioner’s Office.

Cookies and external connections

The enquiry service uses a security cookie lasting up to one hour, together with server-side submission identifiers. Optional HubSpot analytics loads only after you select Accept analytics. HubSpot may set hubspotutk, __hstc, __hssc and __hssrc cookies to measure visits and connect browsing history with a submitted enquiry. Rejecting analytics does not prevent submission. Use Cookie settings in the footer to change your choice; the choice is remembered for up to six months. Submissions also pass the visitor IP address supplied by our hosting network to HubSpot for submission context and analytics. We do not generate a substitute tracking identifier when the HubSpot cookie is unavailable. Google Fonts receives connection information, such as your IP address, when fonts load. External links use the destination provider’s own privacy arrangements.
